To start a digital library, define your readers, select content you are permitted to provide, choose an access platform, prepare suitable devices and connectivity, and assign someone to run the service. A digitisation project converts selected physical material into digital resources. Library management software may support cataloguing and circulation without supplying readable ebooks.
Write down which of these you need now. If you are buying hosted access, you may not need a server in the library room. If you are preserving local documents, scanning and storage workflows become central. If you are improving physical-book circulation, that is a related but different system requirement.

Select the collection before signing the technology order
Ask teachers, librarians and intended readers to nominate useful subjects and titles. Sort them into essential material, worthwhile additions and future requests. Check language, level, edition and relevance. A large collection is not automatically a suitable collection.
Request a title-level list from any content supplier. Identify what happens when a title is removed, replaced or updated. For material you own, keep a record of permission to provide digital access. Do not assume that possession of a printed book includes the right to scan and share it.
For the first launch, choose enough material to support the objective and make navigation manageable. Test actual books, not just a demonstration account filled with unrelated examples. The collection should answer recognisable needs on the first day.
What equipment is required for a digital library?
For a hosted reading service, start by assessing existing desktops, laptops or tablets. Test the supported browser, screen clarity, keyboard navigation and performance on real book pages. A device that opens the home page may still struggle with a large scanned volume.
Your network needs suitable internet access, coverage in the reading area and secure administration. Select power protection according to the equipment and local electrical conditions rather than a generic package description. Arrange seating, lighting and screens so readers can work comfortably without crowding one another.
Headphones may be useful if an authorised audio feature is included, but they are not a universal requirement. A printer is optional and must be considered alongside printing permissions. When do you need a server or storage system?
You may need institution-managed storage when hosting your own repository, preserving master files or operating a specifically supported local-access service. In that case, define capacity, backup, restoration, security and maintenance responsibilities. Equipment alone does not establish preservation.
For a hosted platform, ask the provider how availability, backup and data export work. Distinguish the provider’s responsibility for its platform from your responsibility for local user records and documents. Avoid copying sensitive information into an improvised backup folder that everyone can access.
Test restoration for material you manage yourself. A backup that has never been restored is an untested assumption. Keep an inventory of important files and access arrangements so the service does not depend on one employee remembering how everything works.
Create accounts and access rules that people understand
Define who can register, how membership is confirmed and when access ends. Use individual identities where possible instead of one password shared across a campus. Shared credentials make support, accountability and licence enforcement unnecessarily difficult.
Confirm both the total eligible population and the number of simultaneous readers. Check whether restrictions apply to particular titles as well as the platform. Remote access, guest access and multiple campuses should be covered explicitly in the agreement.
Give users a short explanation of what they can read, whether downloading is permitted, and how to get help. Keep this close to the login or orientation material. A rule hidden in a long procurement document will not help a student encountering a locked chapter at home.
Make the catalogue searchable in ordinary language
A catalogue record should identify the title, author, subject, language and edition clearly. Add useful descriptions rather than copying the same promotional paragraph across many books. Readers should be able to distinguish a beginner’s introduction from a specialist reference.
Test searches that real users would type, including common spellings and relevant Hindi terms. Observe whether the correct material appears and whether a reader can understand the result. Metadata quality can matter more than an elaborate search interface.
Organise a few small reading collections around tasks: starting Hindi stories, preparing a particular course, or exploring local history. Keep categories consistent. A student should not need to understand the supplier’s internal catalogue structure before finding a book.
Run a pilot before opening access to everyone
Include one task that does not go as planned. Ask a participant to search for a title outside the collection or try an account whose access has ended. Observe whether the message explains the problem and provides a next step. A service is easier to support when failures are understandable. Keep screenshots or written descriptions of confusing messages, with personal details removed, so the supplier can reproduce the issue instead of guessing from a general complaint. Test the revised message with another reader before closing the issue.
Invite a small mix of readers, teachers and library staff. Give them concrete tasks: find a title, open a chapter, increase text size, resume later and request help. Include a shared computer and an ordinary phone rather than testing only on the newest laptop.
Record failures precisely. “The library is slow” is less useful than “the chapter took too long to load on this phone and connection”. Ask whether problems come from content, devices, the network or account permissions. Assign an owner to each issue and retest the fix.
If translation or AI assistance is included, test subject terms and several page types. Explain that generated answers require checking against the original material. Successful login is only the beginning of a successful pilot.
Train staff for the questions readers actually ask
Staff need to know how to help with access, search, basic reading controls and common errors. They also need a clear route for escalating problems they cannot resolve. A named contact and an issue log are more useful than a training session that nobody remembers.
Use short demonstrations followed by hands-on tasks. Ask each staff member to locate a book and explain its access conditions. Keep a one-page help sheet near shared devices and provide a simple digital version for remote users.
Assign responsibility for memberships, content review, technical support and renewal. One person can hold more than one role in a small library, but the responsibilities should still be explicit. Services weaken quickly when every problem is assumed to belong to somebody else.
A practical first-month sequence
Use the first week to define readers, objectives and collection requirements. Use the second to confirm rights, compare platforms and test devices. In the third, configure access, prepare catalogue records and run the small pilot. Use the fourth for corrections, staff practice and a controlled launch.
This is a planning sequence, not a promise that every project will finish in four weeks. Procurement, permissions, integrations and digitisation can take longer. Move to the next stage when the previous one has passed its checks, not merely because a calendar box has ended.
After launch, review active use, unsuccessful searches and support requests. Ask which books readers expected but could not find. Improve those gaps before purchasing more equipment simply to make the project look larger.
